Position Description
The Program Manager, with a deep commitment to ensuring that the biomedical and health research community reflects the diversity of our communities, will provide key planning, implementation, and decision-making support for the annual New England Science Symposium (NESS) and support leadership efforts to advance of research mentoring and professional development at Harvard Medical School. The role will be based at Harvard Medical School in the Office for Diversity Inclusion and Community Partnership (DICP) with its mission to advance diversity inclusion in health, biomedical, behavioral, and STEM fields that build individual and institutional capacity to achieve excellence, foster innovation, and ensure equity in health locally, nationally, and globally.
Duties and Responsibilities
Relationship Management and Decision-Making Support:
- Work with senior management, department chairs, and faculty including, but not limited to Harvard Medical School and Harvard University basic science departments and Harvard Catalyst to develop and implement symposium curriculum, agenda, and speakers
- Manage and document planning committee meetings
- Support leadership efforts of the Quad Diversity Committee and other institutional relationships to pilot new strategies to support the diverse talent pipeline through professional development training and cultivating opportunities for longer-term supportive professional relationships and mentoring
- Collect and analyze information and evaluation results from activities and events to inform mentoring strategy and program development
Program Management:
- Implement local and national recruitment strategies to identify and recruit faculty and scientists from Harvard, other academic institutions, biotechnology/pharmaceutical companies, trainees, post-doctoral fellows, students, and staff for program involvement
- Develop, compose, and edit correspondence, reports, and program literature; including NESS event brochure and program book. Handle all marketing/publicity (print and web-based) including developing, creating content, and maintaining an active social media presence
- Arrange and coordinate event logistics such as, but not limited to, negotiating vendor contracts (space rental, catering, photography, poster board rental, printing), program dissemination, catering, room reservations, audio visual requirements, registration materials, meeting signage, parking, meeting materials, evaluation forms, manage, mass mailings, student/fellow/speaker/judge travel arrangements Review student/fellow abstract submissions, correspond with individuals to make sure all components are accurate and prepare all submissions for planning committee review
- Manage and update multiple databases (tracking students/fellows, judges, panelists, planning committee members, moderators, facilitators, and recruitment contacts)
- Manage Co-Op and Work Study students who provide administrative and logistical support for program areas
Mentor/Mentee Development Support:
- Support the Mentor Training Program and Postdoc Recruitment program by collaborating with faculty to assist mentors to develop an appropriate training plan for their interns. Support mentors to approach their role with cultural humility and a willingness to learn
- Promotion of programs above to the constituents of New England Science Symposium (NESS) and the Biomedical Science Careers Program (BSCP). Both programs provide a forum for interns, students, and postdocs at all levels to share their research, engage in career development, and expand their professional networks
- Building upon existing efforts at HMS, create and support ongoing opportunities for mentees to network, access resources and utilize professional and social networks for career advancement
Basic Qualifications
5 or more years of experience. Higher education may count towards experience.
Additional Qualifications and Skills
- Bachelor's degree strongly preferred
- Strong organizational skills and close attention to detail in planning and program Implementation
- A commitment and passion for diversity inclusion in the STEM field and the DICP mission
- Demonstrated capacity to manage large-scale projects with multiple stakeholders
- Very strong written and verbal communication skills
- Demonstrated experience to work effectively with a wide range of stakeholders
- Experience with educational programs and event management a plus
- Flexibility in approach and ability to troubleshoot and address implementation challenges
Additional Information
New England Science Symposium (NESS), established in 2002, provides an annual forum for postdoctoral fellows; medical, dental, and graduate students; post-baccalaureates; college and community college students (particularly Black/African-American, Hispanic/LatinX, and American Indian/Alaska Native individuals) to share their biomedical and health-related research activities through oral or poster presentations, to engage in discussions related to career development in the sciences, to exchange ideas and to expand their professional networks. NESS has broad and active participation by over 10,250 participants since its inception. It is co-sponsored by the Biomedical Science Careers Program (BSCP), a not-for-profit organization founded in 1991 that has provided over 14,000 students and 1,225 postdoctoral trainees and junior faculty with support and guidance in the pursuit of careers in biomedical sciences.
This position is based in Boston and some in-person on-campus work will be required, and flexible/remote work is an option. Any remote work must be performed in a state in which Harvard is registered to do business (CA*, CT, GA, IL, MA, MD, ME, NH, NJ, NY, RI, VA, VT, and WA). Individual flexible and remote work options for this role will be discussed during the interview process. *Note: Harvard employees working in California must be exempt.
